By now, most of us have returned to work after a well-deserved break after 2011, a year characterised by global economic uncertainty, delayed decisions, reduced budgets, and stagnant growth for many South African businesses. Entering 2012, however, it does not seem to be all doom and gloom, since there is growth forecast for South Africa; although it's by no means worth “writing home about”.
The major question on many people's minds for 2012 is how to maintain profitability and deliver growth in an economy that does not seem to be poised to support these goals. The good news is that there's no reason to panic just yet, since there are ways to thrive in these conditions – and businesses with foresight will do so. The answer is simpler than you would think: do more with less. You're probably thinking: “Well, that's fairly obvious, but how can I practically make this happen in my business?”
One of the simplest ways to do more with less is to implement a well-planned intranet to help bring people and processes together efficiently. Modern intranets have developed into powerful business application platforms delivering a variety of solutions, including, but not limited to, collaboration, document management, workflow, search, social interaction and business intelligence. The modern intranet can cost-effectively deliver business solutions to your requirements, in isolation or hybrid form.
Impressively, platforms such as Microsoft SharePoint 2010 can deliver these solutions not only to staff internally, but also outside of your business network and to mobile devices, including tablets. Delivering in this way, you can do more with less and improve efficiency simply by making your workforce more productive - even if your market does not experience any significant growth.
In this day and age, modern workforces also demand that services in the business they work for be delivered in a similar fashion to popular social media services such as Facebook, Twitter and YouTube. Failure to do so can lead to frustration and the loss of key skills due to not providing a suitable, informative, adaptable work environment.
If you already have an intranet in place, and are effectively delivering business services in your organisation (and have improved your bottom line as a result), it's not the end of the road. You now have the opportunity to take the gains you've made and lessons learnt and extend them to your clients and suppliers.
By delivering automated processes with a business process management suite like K2 via your extranet, you can cut the costs of doing business with your clients and suppliers. You can also make it easier for them to do business with you, which may, in fact, lead to increased revenues and market share.
You can also engage more with your clients and suppliers by providing them with informative reporting regarding the progress of issues, orders, requests and the like, which can put less pressure on your employees to constantly perform these repetitive tasks, freeing their time up for more valuable activities. It will also empower your clients and add value to the relationships you hold with them.
One channel that not many businesses in South Africa are utilising effectively is the Internet; and once again, a combination of Microsoft SharePoint and K2 can provide the platform for powerful solutions to be developed, which can either extend your business capabilities or provide for an entirely new channel and way of engaging with clients. This channel can enable you to effectively inform, connect, engage and interact with your clients, improving on existing value, but potentially offering goods or services more cost-effectively, offering a broader variety or tapping into new markets and clients altogether.
With the improvement of bandwidth into South Africa, many businesses now have the opportunity to extend their trade by using Internet portals that not only deliver products and/or services, but also an online experience that enables them to engage with their existing and new customers at a deeper and more personalised level. In these times, this is crucial to ensuring loyalty, a counter to the threat posed by rapidly changing local and global markets, and the new breed of suppliers serving them.
The key aspect to bear in mind when considering the above-mentioned investments is that, at the end of the day, they will end up paying for themselves, either in the form of reduced cost, improved productivity or increased revenues. Also, should the capital costs of the software investments required for the above-mentioned solutions be something that makes you nervous in these uncertain times, Office 365 is a much less worrisome option to consider, enabling you to subscribe to the productivity platform without upfront capital expenses.

It is a common situation for bSOLVe to be contacted by a client that has implemented SharePoint, but it feels like a monster has been created and they are no longer able to effectively manage or grow their solution without a large amount of effort. At this point an evaluation can be done as to whether the current solution can be brought back on track or whether a revamp is required. “The SEF has also been an extremely valuable framework to reference when developing customised SharePoint solutions on SharePoint as a development platform,” says Charles Ritchie, Development Director. | bSOLVe recently announced the release of its new set of rapid-deployment productivity solutions based on the SharePoint platform, appropriately named SharePoint To-Go. Says Martin Hattingh from bSOLVe: "It's a common problem. We constantly have conversations with businesses who understand and appreciate the SharePoint vision and benefits; but either don't quite know where to get started, or don't have large budgets to dedicate to one or more custom system projects. We wanted to lower the barriers to entry and over time devised a new approach to catering to these types of requirements. In a nutshell, that's how SharePoint To-Go was conceived." The bSOLVe team realised early on that custom configuration has a role to play, but that not all needs warrant the time and cost involved with such an approach. In current times specifically, there is definite demand for an approach which is recession proof. In many instances, most businesses face fairly similar operational challenges, regardless of the industry they're in. "Of course, this thinking is not new. It's why off-the-shelf products exist", adds Hattingh. "Often however, off-the-shelf doesn't really cater to requirements. There's an element of customisation required, which is where we stepped in". bSOLVe sums up the formula for To-Go as "Software + Services = Productivity". Using a Software + Services approach dictates that off-the-shelf is only a starting point, with implementation, customisation and training adding the crucial value needed to round off the solution. "What we've essentially done is identify a set of common problem scenarios and built very specific packaged solutions for them." So how does it work in practice? bSOLVe deploys a proven template and set of components, customises it with a few tweaks based on a short analysis session, and then trains business users to maximise their use and benefit of the solution. Intranet To-Go for example is an end-to-end Intranet solution which delivers a basic intranet through a process of needs assessment, installation and structure configuration. On top of this, clients are able to choose from dozens of components such as news feeds, birthday reminders, weather forecast, phone extension search and various feedback gathering tools. The SharePoint To-Go moniker has been used for a couple years within bSOLVe, originally applied to branding what's now known as Intranet To-Go. "We realised recently that SharePoint To-Go is more of an approach than a solution per sé, so have repurposed the name to denote all our rapid- deployment SharePoint solutions", says Riana van der Westhuizen, Sales Account Manager at bSOLVe. "Our existing clients used to hearing about SharePoint To-Go will be pleased to know that they now have even more options available to them." SharePoint To-Go is accessible to businesses in all industries, with the initial set of solutions aimed at being a hint of what is planned to be a constantly evolving solution stable. | The release of SharePoint 2010 has been widely touted as a very important evolutionary step for Microsoft. bSOLVe is proud to be part of this evolution with the release of the new version of www.bsolve.co.za, based on SharePoint 2010.
"We're naturally very excited about the release of the latest iteration of our site" says Martin Hattingh, who heads up the front-end SharePoint delivery team at bSOLVe. "It utilises several powerful components in SharePoint 2010's Web Content Management (WCM) arsenal, and adds to the recent myth debunking drive that SharePoint and creative design are not mutually exclusive concepts."
Updating of content on the site is a snap with the new 2010 authoring tools, including the ribbon interface. bSOLVe's marketing team can easily and quickly update any page in the structure, with the publishing of many parts being controlled via approval workflows. Downloads and images are stored in repositories which enable their availability timeframes to be scheduled.
Interestingly, the site was not originally designed on the 2010 version. It was originally conceptualised and brought to prototype on the 2007 version. As Hattingh puts it, "We thought it would be an interesting case study to build the site on SharePoint 2007 and go through the motions of upgrading it to 2010 to get a first-hand understanding of the experience and issues involved. Many of our clients are on the 2007 platform, so it was a logical decision for us to take the risk on their behalf first."
Although upgrading a custom-designed site is not as smooth a process as is the case with an out-of-the-box SharePoint instance, the team was pleasantly surprised. Using the new 2010 Starter Master Pages, the primary layout elements were re-built onto the new version, after which custom page layouts were also upgraded. The most involving part of the upgrade was the integration of the 2010 Ribbon into the interface, seeing as it requires a slightly different layout approach to be effectively available on all pages.
bSOLVe's new site is one of the very first internet-facing SharePoint 2010 sites in South Africa, and as such showcases the company's continuing commitment to the platform.

| The Ogilvy SA group recently took the first step in a broader digital collaboration strategy, with implementation of an intranet based on Microsoft Office SharePoint Server 2007. bSOLVe was selected as a partner to assist with the process of putting the first phase of the Intranet into place, focusing on the strategic benefits gained by enabling staff members to collaborate between teams, departments and individual group companies. The implementation process followed bSOLVe's Work Better Together methodology, which ensures that specific user needs are thoroughly understood before any configuration or development work commences. This methodology also entails constant review and refinement, a critical success factor with a system as dynamic as an intranet. During the planning phase, bSOLVe provided guidance to enable structuring of a tailored version of its Enterprise Framework, which Simon Hepburn from bSOLVe describes as "an approach to planning and structuring SharePoint for optimal benefit within medium to larger organisations". This approach includes the following:
- Site structure which is geared for long-term scalability, while still being immediately deployable.
- A logical, manageable security plan which leverages existing infrastructure investments.
- Governance guidelines which enable trust-expansion and enhancement planning.
- Operational support plans.
By combining the Enterprise Framework with sound understanding of the day-to-day business processes employed by Ogilvy, the project also features automation of select business processes using the K2 workflow engine, combined with information capture via Microsoft InfoPath Forms Services. Says David Breytenbach, Ogilvy Group IT Manager: "We have found working with bSOLVe to be very rewarding. They’re the kind of partner that really becomes part of your team in that they make sure they understand things from your perspective and from there are able guide you in the right direction for your requirements. Added to that is their very good knowledge of the technology and we have already seen good returns on our investment.” |
